Privacy Policy

1. Information we collect
We collect the information needed to provide your practice account and results. This may include your email address, required phone or WhatsApp number, account and credit activity, purchases, assessment attempts and responses, feedback reports, and technical events used to secure and support the service. Phone numbers collected at the free-Practice gate are not automatically verified and may be used by our team for manual follow-up about your OET preparation.
2. Speaking recordings and transcripts
Speaking Practice and Speaking sections in Mock Exams are recorded and transcribed automatically. We copy completed recordings into private application storage and currently retain recordings and transcripts without automatic expiry so that historical reports remain available. They are used for feedback, scoring, quality checks, service operation, troubleshooting, and learner support. They are not clinical records.
Do not share identifiable information about real patients or third parties. Use only the fictional details supplied in the practice scenario.
3. How we use information
We use personal information to authenticate you, deliver and save practice activities, process credits and purchases, generate feedback, prevent abuse, diagnose failures, communicate service messages, and improve the safety and quality of the product.
We use PostHog to understand page-level product usage and connect the marketing and signed-in account journey. In the assessment application, automatic click capture and session recording are disabled. We do not intentionally send learner responses, recordings, transcripts, private assessment material, scoring context, payment-provider payloads, or one-time sign-in codes to PostHog.
We also use Meta Pixel and Meta Conversions API for catalogue, lead, checkout, free-Practice, and completed-purchase measurement. Lead and Purchase contact values are normalized and cryptographically hashed before server transmission. We do not send assessment answers, recordings, transcripts, hidden content, or scoring feedback to Meta.
4. Service providers
We use specialist providers for hosting, authentication, storage, voice and transcription, assessment processing, billing, and email. They receive only the information needed to perform their service and process it under their own contractual and security obligations.
5. Access and retention
Access to learner work, recordings, and transcripts is restricted to the learner and authorised people or systems that need it to operate, score, secure, or support the service. Speaking recordings and transcripts currently have no automatic expiry. Other information is retained for as long as needed for service operation, legal obligations, dispute handling, and security, then deleted or de-identified where appropriate. We may introduce a documented recording lifecycle later as storage usage grows.
6. Your choices
You may ask us to provide, correct, or delete personal information associated with your account, subject to applicable legal and operational requirements. You may ask us not to contact you again by phone or WhatsApp when we contact you or by emailing us. You can also choose not to start a Speaking activity if you do not want that conversation recorded and transcribed.
7. Security and changes
We use technical and organisational safeguards designed to protect learner information. No internet service can guarantee absolute security. We may update this Policy as the service changes and will revise the effective date when we do.
